Blindex® Australia Pty Ltd (ABN 31 743 462 644) makes, supplies and installs plantation shutters, blinds and window furnishings. This policy explains what personal information we collect from customers, why we hold it, and what you can ask us to do with it.
It describes what our systems actually do today. If we change how we handle your information, we will change this page.
## What you give us
To quote, make and install window furnishings we need:
- your name, email address and phone number;
- the address where the work is to be done, and a billing address if it is different;
- your business name and ABN, if you are ordering through a business;
- the measurements of your windows, and often photographs of them;
- anything you choose to tell us in an enquiry, a question through our website, or a message about your job.
When you accept a quote, confirm an appointment, or sign off a completed installation, we record your name, a signature, and the date and time. That record is what shows what was agreed and when.
## What we collect automatically
When you send us an enquiry or open one of the links we email you — your quote, your invoice, your job page — our system records the internet (IP) address you connected from, and the general type of device, browser and operating system you used. For quotes we also record when the page was opened and how long it was open.
We use this for three things: to know a quote has been seen, to keep the links secure, and to recognise when two enquiries have come from the same place under different names. We do not use it to identify you beyond the enquiry itself, we do not build a profile of you, and we do not sell it.
If you sign in to your account with us, we set a cookie on crm.blindex.com.au so the site remembers you are signed in. That is the only cookie we set. Our public website, www.blindex.com.au, sets no cookies and runs no analytics or advertising trackers.
## Why we hold it
To prepare your quote, make your order to the right sizes, book and carry out the installation, invoice you, take payment, keep in touch about your job, meet our obligations under the Australian Consumer Law, and keep the tax and business records the law requires us to keep.
## Who else sees it
We keep your information in our own system, on our own server in Australia. We share it only where a job cannot be done without it:
- **Our installers and manufacturing staff**, who need the address, the access details and the measurements to do the work.
- **Our payment provider (Stripe)** when you pay online. Your card details go directly to Stripe and never reach us. We never see, hold or store a card number.
- **Our email and SMS providers**, to deliver messages you have asked for or that your order requires.
- **Our accountants, and government agencies**, where the law requires it.
We do not sell your information. We do not share it with advertisers or data brokers. We do not send it overseas, except where one of the providers above stores data outside Australia in the ordinary course of running their service.
## Telephone calls
When you ring us, or when we ring you, the call is answered by our assistant and you are told at the start of the call what is being kept. Two things are:
- **What was said.** The call is turned into text and kept on the record of your dealings with us, so that whoever picks your job up next can read what you actually asked for rather than ask you again.
- **The recording of the call itself**, when call recording is switched on. The audio is held by our telephone provider rather than copied into our own systems, and it can only be played from inside our system by the people who run how we talk to customers. It is never sent by email and there is no link to it that works without signing in.
We do not record a call without telling you at the start of it. If you would rather not be recorded, say so and we will take nothing down, and somebody will ring you back in business hours.
Call recordings and call transcripts are kept with the record of your job, and you can ask us to delete the recording of your own call under **Asking for a copy, or correcting something** below.
## Marketing
We only send marketing if you have opted in. Every marketing message has an unsubscribe link, and unsubscribing takes effect immediately. Messages about your own order — a quote, an appointment, an invoice, a delivery — are not marketing, and you will keep getting those while your order is live.
## How long we keep it
Quotes, invoices, orders and job records are kept for at least seven years, because tax and consumer law require it.
Enquiries that never became an order are kept for two years, then removed.
The technical records described above — IP address, device and browser — are kept for twelve months, then removed.
Sign-in links expire in thirty minutes and can only be used once.
## Keeping it safe
Everything is sent over an encrypted connection. Bank account details we hold for tradespeople are encrypted in the database. Access to your record is limited to the people who need it, and staff accounts require two-factor authentication.
The links we email you — your quote, your invoice, your job page — contain a long random code. Anyone with the link can see that page, so please treat those emails as you would any other private correspondence.
## Your account
If we have set one up for you, you can sign in to see your quotes, invoices and jobs in one place. There is no password: we email you a link that works once and expires in thirty minutes.
Having an account is optional. If you would rather we just sent you links, tell us and we will switch it off — everything else works exactly the same way.
## Asking for a copy, or correcting something
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email sales@blindex.com.au and we will reply within a reasonable time, and in any case within 30 days.
We may not be able to delete everything: records attached to an invoice or a completed order have to be kept for the periods above. We will tell you what we have kept and why.
## If you are unhappy
Tell us first — email sales@blindex.com.au and we will look into it. If you are not satisfied with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
